Tips for Effective Letters and Other Media Communications
1. Be concise. It is advisable to keep letters under 250 words, with at least two paragraphs. If a communication is too long, your most important point may be cut. Newspapers reserve the right to edit letters before publication.
2. Make timely comments. If you see an opportunity to respond to an article or opinion piece, submit your letter as soon as possible. What matters to an editor now, may not matter next week.
3. Focus. The first sentence of your letter should explain why you are writing. Make it as easy as possible for the editorial staff and readers to understand the purpose of your letter.
4. State your point. Following your opening sentence, try to summarize your issue/argument, correction, or additional information in the next sentence.
5. Target your audience. Relate to newspaper readers. Use local examples where possible.
6. Use plain language. Easy-to-understand language is best. It ensures that your message will not be misunderstood.
7. Be Positive. Positive language makes positive points. People generally like other people who are positive, rather than negative or insulting. After all, you are writing to express your opinion and to persuade others to believe as you do.
8. Close Strong. Use your last sentence to make a strong statement.
9. Always include your name and contact information. The easier it is for an editor to contact you, the better your chances of having your letter published. Make it easy to contact you to confirm that you are the author (and not someone using your name). Newspapers will not publish your phone number or email address -- only your name, city and state.
10.Check - and check again. Proofread, check spelling, and proofread again. Also review the guidelines for each newspaper to ensure that your letter conforms. You might ask a friend to look at your letter, since another pair of eyes can help you write a letter that gets published.
